Import Logistics Specialist
Department: Supply Chain
Reports to: VP of Supply Chain
Position Summary
The Import Logistics Specialist is responsible for coordinating and executing all import-related activities to ensure the timely, compliant, and cost-effective movement of goods. This role reviews and validates import documentation, collaborates with customs brokers, manages inbound shipment tracking, supports customer direct shipments, and ensures full adherence to U.S. Customs and Border Protection (CBP) regulations and internal company policies.

Key Responsibilities
Customer Direct Ship Coordination
• Coordinate customer direct ship orders to ensure all bookings are completed on time with both customer-designated freight forwarders and Ardisam’s freight forwarders.
• Ensure shipments align with customer delivery timelines and requirements.
• Manage supplier shipping schedule to support timely fulfillment of customer direct ship orders.
• Ensure direct ship customer orders are shipped, received, and billed accurately and promptly through ERP system.
Documentation Review & Compliance
• Review and verify commercial invoices, packing lists, and all import documents for accuracy, including HTS codes, quantities, values, country of origin (COO), and compliance requirements.
• Ensure all import documentation is complete and compliant with CBP regulations and company standards.
• Collect Bills of Lading (BOL) and other shipping documents from suppliers in a timely manner.
• Maintain accurate, organized records of import documentation for audits and internal reference.
Customs Coordination
• Partner with customs brokers to compile, submit, and validate required import documentation.
• Ensure accurate assessment and payment of customs duties, tariffs, and other government fees.
• Prepare and distribute weekly customs duty and tariff reports for the CFO or designated finance team members.
• Address customs-related inquiries and resolve issues in conjunction with Compliance Manager to prevent shipment delays.
Inbound Logistics & Shipment Tracking
• Update and maintain the inbound shipment tracking sheet to keep the operations team informed of shipment status.
• Monitor cargo movement, expected arrival dates, delays, and potential risks; proactively communicate updates while managing cost associated with delay equipment returns.
• Coordinate with internal teams and external partners to ensure customer orders are shipped accurately and on schedule. Update customer portal as needed to provide shipment visibility.
Audit & Regulatory Compliance
• Conduct periodic audits of import transactions to ensure compliance with trade regulations and internal policies.
• Maintain proper filing, retention, and accessibility of import records for CBP and internal audits.
• Stay current on changes in import regulations, HTS classifications, trade programs, and customs requirements.
• Conduct periodic import freight charges to ensure appropriate freight charges and fees are billed to Ardisam.
Qualifications and Skills:
• Bachelor's degree in international business, logistics, or a related field is often preferred but not required.
• Experience in import/export operations, particularly with customs clearance and documentation, is valuable.
• Great customers interfacing, strong communication, organizational, and problem-solving skills are essential.
• Familiarity with international trade regulations, import processes, and logistics software is a plus.

Compensation: Salaried – Based on experience
Duration of Employment: Full Time

- Must be able to meet vendors off-site and travel occasionally as needed
