Job Summary:
The HR & Safety Administrative Assistant provides part-time administrative support to Ardisam’s Human Resources and Safety functions. This position assists with employee records, recruiting and onboarding activities, safety documentation and training records, scheduling, tracking, employee communications and general administrative projects.
The position requires strong organization, attention to detail, follow-through, and the ability to manage multiple ongoing tasks and deadlines.
Job Duties:
Human Resources
• Maintain employee records, HRIS information, personnel files and HR documentation.
• Assist with recruiting, interview scheduling, onboarding and new-hire paperwork.
• Maintain FMLA, Workers’ Compensation and other HR files and tracking at the direction of the HR Manager.
• Prepare spreadsheets, reports, forms, presentations and employee communications.
• Assist with career fairs, company events and other HR programs.
• Provide general administrative and project support to the HR Manager.
Safety Administration
• Conduct New Employee Safety Orientation using established materials.
• Maintain safety training records and related documentation.
• Coordinate Safety Committee meetings, including agendas, minutes and recordkeeping.
• Maintain SDS and Hazardous Chemical Inventory records.
• Schedule required safety training, DOT physicals, drug testing and related appointments.
• Maintain DOT Driver Qualification Files and assist with related DOT compliance records and administrative requirements.
• Provide administrative support for established safety programs and inspections.
Communications & General Administration
• Coordinate the quarterly company newsletter and assist with PowerPoint presentations and employee communications.
• Maintain calendars, reports, spreadsheets and other tracking systems and follow up on deadlines and outstanding items.
• Assist with filing, scanning, document organization and other HR/Safety administrative needs.
• Perform other duties and special projects as assigned.
Qualifications and Skills:
• Previous administrative experience required; Human Resources and/or Safety experience preferred.
• Strong organizational skills, attention to detail and follow-through.
• Ability to independently manage multiple priorities and deadlines.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
• Experience with HRIS or other business systems preferred.
• Ability to handle confidential information appropriately and work effectively with employees and managers at all levels.

Compensation: Hourly Position
Employment Status: Part-Time, 24–29 hours per week
Work Schedule: Flexible schedule of 24–29 hours per week during first-shift hours, Monday–Friday. Schedule may consist of three to five workdays per week.
